LIBRARY SYSTEMS ADMINISTRATOR JOB DESCRIPTION 

POSITION Library Systems Administrator
REPORTS TO: Director of Library Media Services
CONTRACT PERIOD: 226 Days
PAY GRADE 91Q
   
Criteria for selection will include the ability to:
  Manage a library automation system, library media services web site, and databases for a district-wide area network
  Create and manage an automated distribution system for library media resources and technology
  Have knowledge of catalog print and nonprint materials at all levels
  Have knowledge of current and emerging information technology and implement this technology as it applies to library media center operations
  Have knowledge of networking for the delivery of information and experience with Sun Solaris operating system
   
Qualifications:  
  Master of Library Science from an institution accredited by the American Library Association
   Dynix Scholar System Administrator Certification and/or administrative experience with a library automation system 
   
General Statement of Responsibilities and Skills Needed:
bulletWork with the Library Director to manage and coordinate the district library automation system, and implement and maintain library technology programs.  
bulletProvide training on technology hardware and software as applicable to the library media program.  
bulletCo-ordinate the district union catalog with the state union catalog.  
bulletAct as technical liaison with electronic resource vendors.
   
Specific Duties:  
   Library Technical Services - Building Library Media Centers
  1.  Oversee central processing services for all library media centers,  the District Research and Preview Center and special programs.

  2.  Work and communicate with library media specialists to maintain the automation system and coordinate the implementation of technology into the library program.

  3. Create and customize reports on the local and district library media centers collections.

  4. Supervise inventory control for central and building library resources

 

Automated Library System
  1.  Serve as systems administrator for the library automation system, the state union catalog, networking in all school library media centers including consultation, training, implementation and use.

  2. Serve as liaison between school districts, companies, vendors, organizations, and district personnel involved with central processing services, cataloging, and the district-wide databases.

  3. Train and serve as a consultant to library media specialists on the operation of the automated library system and other electronic resources.

  4. Keeps current on hardware and software changes as they apply to the library automation system

 

Electronic Resources
  1. Assist in the planning and implementation of electronic resources for the RISD 

  2. Serve as a resource person regarding questions on all types of library and instructional technology (software and hardware)

  3. Coordinate district-wide training and inservice  for library media specialists and other RISD staff on library technology

  4. Maintain library media services web-site.

 

 
Serve as a resource person to library media specialist on automation, cataloging, technical and professional trends and developments affecting the library program.

CATALOGER JOB DESCRIPTION

POSITION:                                 Cataloger
REPORTS TO:                           Library Systems Administrator

Criteria for selection will include the ability to:
know and  apply cataloging rules
  work with campus librarians to meet the individual needs of the campus
  contribute to the overall efficiency of Library Technical Services
 
Qualifications:
Master of Library Science from an institution accredited by the American Library Association
Knowledge of the following:
  AACRII (Anglo American Cataloging Rules, Revised)
  Dewey Decimal Classification
   Library of Congress Subject Headings
  MARC formats (Machine Readable Cataloging)
  Cataloging of print and non-print materials
  ITSMARC (Bibliofile)
   Mitinet MARC 
  1-2 years of experience with an automated library system, preferably Dynix Scholar.
   
General Statement of Responsibilities and Skills Needed:
bulletSupervises the addition of materials to the library union catalog through the use of vendor discs and bibliographic utilities. 
bulletCreates original cataloging records of print and nonprint materials as needed.  
bulletMaintains authority control lists for the union database.  
bulletUses keyboarding skills proficiently.
   
Specific Duties:  
  1. Supervises and assists with the automated cataloging of instructional materials in order to provide the best access of  these materials to students and teachers.

  2. Participates in the creation of a bibliographic and local authority database that is accurate, complete and which will provide ready access to, and management of, the catalog collections in library media centers and the District Library Media center.

  3. Performs original cataloging of print and nonprint materials according to national standards (AACR2, Dewey  Decimal Systems, Library of Congress Subject Headings, MARC formatting) for use in the district wide catalog database.

  4. Coordinates the retrospective conversion of existing holdings bibliographic records to MARC format for the district wide catalog database of all library holdings.  Overseas maintenance of the district wide database.

  5. Responsible for the development and implementation of policies and procedures, for works of original cataloging, vendor  specifications for data disks, and retrospective conversion of print and nonprint materials.

  6. Performs cataloging maintenance on state union database as directed by Cataloging Focus Group.

  7. Serves as a resource person to library media specialist on cataloging, technical and professional trends and  developments affecting the library program.

  8. Performs additional responsibilities, tasks and duties as determined by the Library Systems Administrator.

Physical Demands:
Occasional district wide travel, heavy lifting, carrying, significant amount of time spent at computer terminal, heavy keyboard usage.

OFFICE  MANAGER/ACQUISITIONS JOB DESCRIPTION

POSITION:                                

Office Manager/Acquisitions
REPORTS TO:                           Library Systems Administrator
CONTRACT PERIOD:                226 Days 
PAY GRADE  
   

General Statement of Responsibilities:

Work with the Library System Administrator to oversee central processing services for all library media centers.

bullet

Enter all media orders for extra allotment funds.

bullet

Manage the work flow of received items.

bullet

Track orders through completion. Communicating with vendors, accounting department, and librarians when necessary.

bullet

Work with warehouse staff to coordinate movement of orders in and out of the processing office.

bullet

Perform basic office management procedures.

Specific Duties:  
Enter all book and media orders for extra allotment funds:
  1. Receive and date orders from Library Media Services Offices.

  2. Enter order on VAX 

  3. Record order on spreadsheet including PO number, date ordered, vendor name, school, and amount of purchase.

  4. If necessary, send book list or media list attachment along with RISD specs to Accounting for each PO number.

  5. Send copy of VAX screen for each PO to the librarian.

  6. Attach an order processing form to each order. 

  7. File order in Technical Services files.

Manage the work flow of received items:
  1. Sign for all items from receiving.

  2. Date all items shipped from the school as they are received

  3. Record all items on receiving spreadsheet by the date received as printed on the routing slips.

  4. Number pallets and have put on racks

  5. Assign cataloging and processing according to the date orders were received

 

Follow orders through completion:
  1. Processed files will be dated and put in ‘Completed” folder by processors and cataloguers to be checked for payment and completion.

  2. Check each order on VAX for payment and completion.

  3. Call vendors when necessary about backorders, missing items, incorrect items, and damaged items.

  4. Work with vendors and librarians about getting supplement lists when necessary to complete POs.

  5. Work with Accounting when necessary to achieve timely payment to vendors; work to find items that were not able to be received properly for payment.

  6. Enter processing completion date on receiving spreadsheet.

  7. Enter Check Register information and any information necessary to watch for completion on the order spreadsheet.

  8. When order is complete, initial the processing form and file.

 

Work with warehouse staff to coordinate movement of orders in and out of the processing office:
  1. Work with warehouse staff to store pallets for processing

  2. Work with receiving staff to coordinate numbering of pallets and collecting routing slips.

  3. Work with warehouse staff to have completed items taken to the line for delivery to libraries

 

Perform basic office management procedures
  1. Assign work to processing and cataloguing staff, according to the date the items were received.

  2.  Answer the phones

  3. Order office supplies to include: processing supplies, AUP stickers, library cards, barcodes, etc.

  4. Communicate with LMS on processing issues when necessary.

  5. Perform other duties and assignments as requested by Library Systems Administrator or Director of Library Media Services
